Resolve KEBS requirements before booking freight
KRA’s import guidance calls for a customs clearing agent and lists conformity documents for regulated products. KEBS distinguishes motor vehicles, spare parts and mobile equipment within its inspection services. Ask your agent and the appointed inspection provider which route applies to used standalone engines exported from China; obtain the current requirements in writing before loading.
Describe the goods accurately: used petrol engines, used diesel engines, complete assemblies or separate components. Include origin, condition, quantities and proposed codes. Do not assume that guidance for a complete used vehicle establishes the treatment of a replacement engine. Equally, a supplier’s “Grade A” description does not replace statutory conformity assessment.
Build the mix from your own sales records
Start with repair-shop requests, recent sales and unsuccessful orders. Engine codes such as Toyota 1NZ-FE, 2ZR-FE or 2KD-FTV can help organize a request, but are not evidence that a model is your best seller. Record the full code, suffix, vehicle application, fuel type, transmission and accessory requirements. Confirm compatibility with your technician before accepting substitutions.
A practical first buying list separates proven repeat-demand models from trial lines. Set a quantity and target purchase cost for each. Keep room in the budget for freight, clearance and local delivery rather than using the entire budget on the FOB engine price.
Give your clearing agent a reviewable document pack
- Pro forma invoice: buyer identity, exact goods, agreed scope, currency and payment terms.
- Commercial invoice and packing list: matching codes, quantities, unit or packing identifiers, weights and package totals.
- Draft bill of lading: consignee, notify party, discharge port and shipment references.
- Agent-confirmed import declaration, conformity documents and any other required origin or regulatory paperwork.
Have the agent approve draft descriptions before documents are finalized. Keep engines, gearboxes and separately supplied accessories on distinct lines when their classification or inspection treatment differs. Ask who will resolve an invoice discrepancy before the vessel departs.
Plan collection at Mombasa and the final delivery
Request a written destination-cost estimate covering clearance, terminal handling, storage exposure, container return and transport to your receiving warehouse. Specify whether the shipment is for the Kenyan market or onward transit; tell the broker the final destination at the quotation stage. Establish who monitors arrival notices and the relevant free-time deadlines.
On receipt, photograph the container seal and packages, count units against the packing list and record visible damage before installation. Retain the shipment’s numbered photo file so receiving staff can reconcile the delivered batch with the accepted order.
How LSVANT supports the origin-side checks
LSVANT combines more than 20 years of industry experience with a reported inventory of 15,000 engines and service to over 700 wholesale customers in more than 50 countries. Current availability is confirmed for each inquiry. A new customer’s first order can start from 10 engines, allowing you to validate the selected mix before scaling.
Our remote review includes numbered photos and supervised video records of selected units. Cleaning and manual crankshaft rotation are preparation checks, not compression, bench or running tests. You review the evidence before the 70% balance is paid; the initial 30% starts agreed preparation. Warranty coverage is confirmed in the written order. Customs acceptance remains a destination-side decision.
Questions before your first Kenyan order
Does an engine code alone prove fitment?
No. Check the application, suffix, mounts, electrical configuration and included components with your technician.
Can I arrange the inspection after arrival?
Do not build your plan around that assumption. Ask KEBS and your agent to confirm the correct route and any consequences of missing origin paperwork before shipment.
